Unit Secretary ( ER,MED/SURG)

(Full Time)

 The Unit Secretary (US) person assumes responsibility and performs clerical and receptionist duties essential to the operation of patient care units as directed by physicians and registered nurses.  Is guided by knowledge of established routines, policies, and procedures, and by oral and/or written instructions.  Is cognizant of the standards, objectives and policies of the Department of Nursing and the Hospital.

Education & Experience

Must have a high school diploma or GED.  Must successfully complete an approved medical terminology course within three months of hire

Risk of exposure to communicable diseases; blood and/or body fluids.  Must be able to stand for up to 1 hour a day, walk up to 1 hour per day, and sit for up to 6 hours per day.  Must be able to occasionally push/pull up to 50 lbs. and lift/carry up to 20 lbs. on an occasional basis. 

Duties & Responsibilities

  • Maintains current knowledge of census, discharges, admissions, and transfers. 
  • Consults with and keeps the Nurse in Charge informed of activities, needs and problems related to the nurse’s station, patient activity, and family/visitors’ concerns. 
  • Demonstrates knowledge of established hospital, departmental and unit policies and procedures, goals, Performance Improvement and safety initiatives, and Environmental and Infection Control guidelines. 
  • Competent in use of Meditech and other applications required to perform duties. 
  • Facilitates customer service.  Cooperates with other personnel to achieve departmental and organizational objectives and maintains good employee, interdepartmental and public relations. 
  • Assists in maintaining unit-based employee personnel information (attendance, leave history, etc.).   
  • Participates in educational programs, in-services, PI activities, and monthly staff meetings. 
  • Maintains the medical records of all patients on the unit, assures completeness of the medical record and expedites the delivery of the discharge patient record to Medical Records within the expected time frame. 
  • Answers telephone utilizing SOCAA scripted guidelines and conveys messages in person or by the page/intercom system concisely, and accurately.  Refer technical inquiries to the appropriate individual for reply. 
  • Makes appointments for patients referred to special service areas. 
  • Reports emergencies, i.e., various codes, as per Hospital Policy. 
  • Arranges for unscheduled pick-up of specimens as needed. 
  • Routes ancillary department requests as per procedure. 
  • Notifies appropriate department and/or individual when patients are discharged, transferred, placed on critical lists, expired, etc. 
  • Maintains files and updates unit log on a daily basis. 
  • Prepares charts for admission, transfer, and discharge. 
  • Maintains an adequate and orderly supply of all forms/requisitions as needed on Nursing Units. 
  • Records appropriate information on Karadex, physician order sheets, and Medex. 
  • Maintains proper chart sequence and content. 
  • Assures that patients’ charges are entered on a daily basis.  Maintains adequate supply of billing forms and routes completed charges daily to patient accounts. 
  • Accurately transcribe physician’s orders onto appropriate records following established procedures.  Able to perform order transcription manually and via computer. 
  • Knowledgeable and proficient in downtime procedures. 
  • Schedules special tests, transportation, treatments, consultations with the appropriate department 
  • All other duties as assigned.
