The Administrative Coordinator will assist in the organization and facilitation of service delivery in oncology for patients in compliance with CKCI/SRMC policies, procedures, and standard of care, supporting CKCI/SRMC’s mission, vision, core values, and customer service philosophy. Oncology service delivery is guided by knowledge of established routines, policies and procedures, standards, or mandates by oral and/or written instructions by regulatory agencies, laws, and governing bodies. The Administrative Coordinator ensures that clerical and operational requirements within oncological service delivery are upheld, well-organized, and carefully implemented under the direction of the Administrator. The Administrative Coordinator supports the activities of the registration staff for new and returning patients, filing, faxing, and chart preparation for CKCI, processing mail, scheduling patient appointments for treatment, scheduling and follow up appointments. The Administrative Coordinator of Oncology maintains current knowledge of patient visits, consults with, and keeps the Administrator informed of activities, needs and potential issues related to oncology patient activity, throughout the building, clinical and non-clinical matters, ensuring that all necessary information is obtained, or information is verified. The Administrative Coordinator works under the direction of the Administrator, for needs in the operation of CKCI for assigned duties when the Administrator may be off-site.

The Administrative Coordinator of Oncology reports to the Administrator with additional oversight by the Director of Finance with responsibilities that exist within Revenue Cycle Management, specific to financial needs of the patients in pretreatment, treatment and follow-up care needs and applicable accounts processing for patients. The Administrative Coordinator sets financial arrangements to address and resolve financial and social determinant challenges for patients and caregivers and guides the daily work of the front desk registration staff in these processes. The Administrative Coordinator assists in requesting insurance authorizations, addressing insurance requests for reconciliation, and billing and coding entry and charge submissions in conjunction with the registration staff. Serves as a liaison to external agencies, when necessary, addressing social and financial needs of the oncology patients that arise during patient visits to CKCI. This person assumes responsibility and accountability for the duties and is cognizant of the philosophy, standards, objectives, and policies of the Charlotte Kimelman Cancer Institute.

Education & Experience

Any combination of a High School Diploma and an equivalent certificate from an accredited institution, vocational or technical certificate of completion in medical office administration, and 1-3 years of applicable experience in related field.

Duties & Responsibilities

· Establish and maintain effective working relationships with physicians, CKCI/SRMC staff, and management. Maintains professionalism and provides support of CKCI initiatives.

· Demonstrates knowledge of established hospital, departmental unit policies and procedures, and goals, to include performance improvement initiatives, safety, environment, materials management, and infection control.

· Assists in risk management needs, to include safety drills for emergency preparedness under the direction of the SRMC Leadership, Department Heads, and Administrator.

· Competence in Meditech, other information systems, and applications required to perform position responsibilities.

· Ensures that demographic, financial, referral and clinical and non-clinical data is collected, completed, and communicated in accordance with CKCI/SRMC policies and procedures.

· Ensures all pertinent information is in the chart for pre-set-up, start of treatment, course of treatment, end of treatment and follow-up patient care in conjunction with the registration staff. Ensure that all chart forms are available for preparation and closure in treatment delivery.

· Assist the Administrator to coordinate staff activities to ensure proper maintenance of the records of all CKCI patients in assigned areas.

· Maintains current knowledge of registration, coding, and coding education to properly coordinate the activities of the front desk staffing coding and charge entry.

· Ensures that transcribed physician dictation, and its appropriate charge entry needs are met, and all reporting is correctly logged into patients’ charting.

· Liaises with the Finance Department for coordination, communication of information and data management needs, as stipulated by the Director for Revenue Cycle Management for applicable activities.

· Coordinates registration desk staff to ensure that all patient charge slips are documented and accounted for.

· Attends trainings and meetings geared at improving operations for CKCI and Finance Department for assigned activities. Participates in the facilitation of activities that promotes initiatives to enhance or improve patient account activities, as directed.

· Coordinates proper correction of billing entry errors and implementing corrective activities for front desk registration staff to ensure timely billing and coding activities, meeting department needs and reporting requirements, leading to reimbursement and financial stability of operations.

· Filing, faxing, document preparation, and handling mailings for Administrator, as directed.

· Participates in educational programs and in-service meetings that are representative of CKCI initiatives and activities.

· Works with community agencies to facilitate appropriate communications for referral management processes or assistance with navigating patient challenges that may interfere with patient care processes.

· Coordinates calendar and documents for Administrator for setting regular and ad-hoc meeting needs, internal and external to SRMC. Assists in coordinating in planning those meetings, as directed by the Administrator.

· Coordinates incoming referral calls and start up care for patients in assigned oncology areas. Reports issues impacting facilitation of these matters so that timely care and response for patients is ensured.

· Distributes duties to front desk registration staff for scheduling or coordinating patients for St. Thomas and off-island patients to and from CKCI. Ensures that patient charts are completed to include external charts, documentation, imaging, and reports.

· Assists the Administrator with Boutique management for patients’ prosthetic and cosmetic needs, to include staffing, scheduling, and purchase orders for boutique’s effective operations, in absence of the Boutique Manager.

· Maintains confidentiality of all information related to patients, medical staff, and finances of the CKCI operational area.

· Adhere to and support compliance and accreditation efforts of the facility management as assigned included to, but not limited to Joint Commission, OSHA, HIPAA, and CMS, for applicable policies and procedures.

· Effective reporting and communication of internal building issues to the Administrator, in accordance with SRMC guidelines.

· Demonstrates understanding of Administrative Coordinator of Oncology processes and can make effective decisions, at times independent of the Administrator.

· All other duties as assigned.
